Direct answer: for a single US/overseas entity with one user, about 20 invoices and five bills a month, at regular monthly prices Xero Early is USD 27/month, Puzzle Starter is USD 30/month (USD 300/year, about USD 25/month) and QuickBooks Simple Start is USD 38/month. On annual totals, Puzzle at USD 300 is lowest; on pure monthly, Xero at USD 27 is lowest. For five users, 500 invoices, 200 bills and a multi-currency requirement: Xero Established is USD 1,164/year (multi-currency explicitly listed), Puzzle Complete is USD 1,200/year (10-month annual; multi-currency to confirm) and QuickBooks Plus is USD 1,680/year (multi-currency to confirm); Xero is only USD 36 cheaper and Puzzle adds 100 AI credits/month. At 20 users and 2,000 invoices: Xero stays at USD 1,164, Puzzle Scale is USD 3,600 and QuickBooks Advanced is USD 4,080. The real variables are the subscription tier, the AI allowance, the bookkeeping/payroll/sales-tax add-ons, and migration/catch-up.

This guide is for finance, operations and founder teams with a US/overseas entity, cross-border e-commerce or export business. It compares the three vendors’ US pricing pages in USD, excluding tax, with no FX conversion. Data cut-off: 3 November 2026; all models are editorial calculations, not quotes. Mainland China accounting standards, fapiao, tax filing and local bookkeeping are out of scope; replace the assumptions with your own transaction volume, entity count, currencies and payroll/inventory needs.

Three rules to remember

Price the ledger subscription first, then the AI allowance, then bookkeeping/payroll/sales-tax/migration; Puzzle meters AI in credits, QuickBooks layers AI by plan, and Xero’s pricing page shows no separate AI line item; promo prices are not a budget, because the three vendors’ official pages do not agree on promo length or discount.

Three billing models: subscription, AI allowance, bookkeeping service

Puzzle tiers by seats and AI credits: Starter USD 30, Core 72, Complete 120 and Scale 360 per month; AI credits are 25 lifetime, 25 lifetime, 100/month and 300/month, with top-up packs of 40/100/250. QuickBooks tiers by users: Free USD 0, Simple Start 38, Essentials 85, Plus 140 and Advanced 340 per month; Intuit Intelligence features are listed under each plan, with no separate AI line item on the pricing page. Xero tiers by features: Early USD 27, Growing 59 and Established 97 per month, with no per-user fee; JAX is presented as platform AI, again with no separate AI line item on the pricing page.

Sources: Puzzle Pricing and Help Center, QuickBooks Pricing, Xero Pricing/JAX pages (all accessed 3 November 2026). USD, excluding tax. Puzzle credits power AI Close, AI Chat and AI Cowork; QuickBooks AI features are tiered by plan and the in-product availability governs; Xero’s JAX page says future features may differ and additional fees may apply, so the roadmap is not a current price.

The three models create different “cheap zones”: Puzzle’s entry tier includes a lifetime 25 credits, not 25 per month; QuickBooks does not charge separately for AI but reserves stronger reconciliation/analysis for higher tiers; Xero has the lowest subscription but its AI boundary and add-on costs need a trial. Confirm what you need at each layer — ledger, AI and bookkeeping — before comparing monthly fees.

Sources: Puzzle Pricing/FAQ, QuickBooks Pricing and Xero Pricing (accessed 3 November 2026). USD, excluding tax; QuickBooks and Xero show monthly prices only, with no annual total on the page. *Puzzle says annual billing is “12 months for the price of 10”; Starter at USD 300/year is explicit, while Core/Complete/Scale at 720/1,200/3,600 are calculated on the same rule and must be confirmed at checkout. QuickBooks also shows “50% off for 3 months” and a 30-day trial; Xero’s pricing page says “80% off for the first 3 months” while its JAX page says “first 6 months”, so this article excludes promos from the budget.

One, five and twenty users: three annual TCO cases

One user, 20 invoices/five bills: Puzzle Starter USD 300/year, Xero Early USD 324/year (USD 384 with auto-reconcile), QuickBooks Simple Start USD 456/year; Puzzle is lowest on annual. Five users, 500 invoices/200 bills with multi-currency: Xero Established USD 1,164, Puzzle Complete USD 1,200, QuickBooks Plus USD 1,680; Xero is only USD 36 cheaper. Twenty users, 2,000 invoices/1,000 bills: Xero USD 1,164, Puzzle Scale USD 3,600, QuickBooks Advanced USD 4,080; Xero is lowest, but AI close automation has to justify its own premium.

20 users; 2,000 invoices/1,000 bills a monthScale 3,600 (annual)Advanced 4,080Established 1,164Xero

Editorial calculation, not a quote. Monthly price ×12; Puzzle annual uses “12 months for the price of 10”, with Starter USD 300 explicit and the others calculated on the same rule. Excludes tax, AI top-ups, payroll, payment fees, bookkeeping, migration and catch-up. Scenario assumes a single US/overseas legal entity with USD books; 20 invoices/five bills sits exactly at Xero Early’s cap, so overages require Growing. Only Xero Established explicitly lists multi-currency; Puzzle/QuickBooks support must be confirmed in a trial, and if it fails the five-user scenario does not hold.

The important point is not “who is lowest” but “how wide the gap is”: in the five-user case Xero and Puzzle are USD 36 apart per year, and Puzzle adds 100 AI credits/month; if those credits cover AI Close, the premium is almost negligible. In the twenty-user case the gap widens to USD 2,436/year, so first ask how many human hours AI close automation removes, then decide whether to pay for Puzzle — not just compare subscriptions.

Do AI credits push the bill higher?

Puzzle’s top-ups are 40 credits for USD 25 (USD 0.63 each), 100 for USD 50 (USD 0.50) and 250 for USD 100 (USD 0.40); credits never expire and are shared across AI Close, Chat and Cowork. Complete includes 100/month; buying 250 more each month lifts monthly billing from USD 120 to 220 (+83%), while the annual total is USD 2,400 (USD 200/month). Scale includes 300/month; buying 250 more lifts monthly billing from USD 360 to 460 (+28%), while the annual total is USD 4,800 (USD 400/month). Starter/Core include only 25 lifetime credits, which heavy use will exhaust quickly.

Scale (annual)300/month+250 each month / USD 1004604,800 (USD 400/month)

Editorial calculation. Top-up prices come from Puzzle Help Center “How to Buy More AI Credits” (31 August 2026); credits never expire and are shared across AI features. Puzzle’s public help pages do not state how many credits each AI task consumes, so the table is a “250 extra credits per month” sensitivity, not a usage forecast; measure real consumption in a one-month close.

The common misread: Starter at USD 30/month looks cheapest, but its 25 credits are a lifetime allowance, not a monthly reset. Once the team uses AI Close, bulk categorization or AI Chat regularly, it either keeps buying top-ups or moves to Complete. The per-credit price also falls with pack size: the 250 pack is 36% cheaper per credit than the 40 pack (USD 0.40 vs 0.63), so “start with a small pack” is not cheaper over time.

Bookkeeping, payroll and sales tax: the add-ons outside the subscription

Puzzle Expert Reviewed is USD 171/month, includes the Core plan and a bookkeeper’s monthly review, but only for businesses with up to USD 10K monthly expenses, one entity, one accounting basis and no payroll/AR/AP/inventory; Full Service is quoted by entity and expenses. Payroll starts at USD 49/employee/month with a five-employee minimum (USD 245/month); sales tax is USD 149/state/month; migration USD 149/system; catch-up from USD 300 per month of books; tax filing from USD 1,250/year plus USD 250 per state. Xero payroll is USD 36/month + USD 6/employee; QuickBooks payroll is not priced on its pricing page and needs a quote.

Sources: Puzzle Pricing and Help Center “FAQ: Pricing” (accessed 3 November 2026). USD, excluding tax; services and add-ons cannot be bought without an active Puzzle subscription. Xero payroll is USD 36/month + USD 6/employee/month (Xero Pricing); QuickBooks payroll is not listed on its pricing page and must be quoted by Intuit. The payroll models differ: Puzzle runs payroll as a service, Xero sells a software add-on, so per-head prices are not directly comparable.

For manufacturers and cross-border businesses, the most commonly missed constraints are inventory and multiple entities. Puzzle Expert Reviewed explicitly excludes inventory, payroll, AR/AP; a business with overseas warehouses, SKU inventory or multiple entities needs Full Service or its own finance team. Xero only lists multi-currency on Established; QuickBooks’ multi-currency/inventory support must be confirmed by plan. The “lowest price” in the subscription table may not qualify under these conditions.

Same price, different capability: AI, seats, currencies, promos

Puzzle meters AI in credits, which suits teams that make AI Close a core process; QuickBooks layers AI by plan, with AI reconciliation/anomaly detection from Plus and Finance AI on Advanced; Xero’s JAX is platform-level AI with no separate line item on the pricing page, but the JAX page warns that future features may change. Seats: Puzzle 1/5/unlimited, QuickBooks 1/3/5/25, Xero no per-user fee. Multi-currency: Xero Established explicitly lists it; Puzzle supports multi-entity via integration from Core; QuickBooks needs a trial confirmation.

Sources: the three vendors’ pricing/help/JAX pages (accessed 3 November 2026). Xero’s promo length differs between two official pages (3 months on pricing, 6 months on JAX), so this article excludes promos from the budget; QuickBooks’ 50% off also covers only the first three months. Every “not listed” item must be confirmed in the contract/product — it does not mean “no extra charge”.

Which option fits which scenario?

One-person simple ledger: Xero Early at USD 27/month is lowest monthly; if committing for a year, Puzzle Starter at USD 300/year is lower. Five users with multi-currency: Xero Established at USD 1,164/year is lowest; Puzzle Complete at USD 1,200/year is only USD 36 more and adds 100 credits/month, so choose Puzzle if AI close is core and multi-currency is confirmed. Twenty users/high volume: Xero at USD 1,164/year is lowest, QuickBooks Advanced USD 4,080, Puzzle Scale USD 3,600; pay for Puzzle only if AI automation is core. Human-reviewed simple books: Puzzle Expert Reviewed USD 171/month; inventory/payroll/multi-entity businesses do not qualify.

“First choice” is an editorial judgement, not a vendor recommendation; the final decision depends on entity count, currencies, inventory, payroll, bookkeeping needs and AI intensity. All prices are public list prices, excluding tax and discounts.

What should procurement and acceptance specify?

At least eight things: regular vs promo pricing, AI allowance and overage price, AI features available now (not the roadmap), seats/accounts, multi-currency/multi-entity, payroll/sales-tax/inventory add-ons, migration/catch-up/bookkeeping fees, and data export/contract terms. Then run a one-month real close POC and record the auto-categorization rate, human minutes, AI credits consumed, close days and error rate.

  • Price basis: ask for regular, promo and annual prices in three separate lines; QBO/Xero promo periods differ, so the first-month price is not an annualised price.
  • AI allowance: ask how many credits each AI task consumes, the overage price, expiry and whether credits are shared across features; Puzzle publishes the allowance and top-up price but not per-task consumption.
  • Feature boundary: separate “available now” from “roadmap”; Xero’s JAX page explicitly says future features may change, so the roadmap is not a purchase commitment.
  • Seats and permissions: confirm user counts, accountant/auditor access and read-only roles; Xero has no per-user fee but may have other limits.
  • Multi-currency/multi-entity: test with real currencies and intercompany entries; Puzzle’s Core multi-entity is “via integration”, not unlimited native entities.
  • Add-ons: list payroll, sales tax, inventory, payment fees, migration, catch-up and bookkeeping separately; Puzzle Expert Reviewed excludes inventory/payroll/AR/AP.
  • Data and contract: export format, deletion/retention, DPA, SOC 2, auto-renewal and cancellation; whether annual fees are refundable.
  • POC: close one real month: auto-categorization rate, human review minutes, actual AI credits, close days, errors/rework; then re-run the annual model in this article.

FAQ

Which is cheapest for a one-person company?

Monthly: Xero Early at USD 27/month is lowest, then Puzzle Starter at USD 30 and QuickBooks Simple Start at USD 38. Annual: Puzzle Starter at USD 300/year (about USD 25/month) is lowest, then Xero Early at USD 324; if Early needs auto-reconcile (+USD 5/month), Xero is USD 384/year. Decide monthly vs annual before comparing.

What about five users, 500 invoices and multi-currency?

Xero Established is USD 97/month, USD 1,164/year, and explicitly includes multi-currency; Puzzle Complete is USD 120/month, USD 1,200/year, with 100 AI credits/month; QuickBooks Plus is USD 140/month, USD 1,680/year. Xero is only USD 36 cheaper than Puzzle per year; if Puzzle’s AI Close covers the month-end workflow and multi-currency is confirmed, that gap is easily offset by human hours.

What about 20 users and 2,000 invoices?

Xero Established stays at USD 97/month (no per-user fee), USD 1,164/year; Puzzle Scale is USD 360/month, USD 3,600/year, with 300 credits/month; QuickBooks Advanced is USD 340/month, USD 4,080/year, for 25 users. For the ledger alone Xero is lowest; if AI close/subledgers are core, Puzzle’s USD 2,436/year premium must be justified by saved human hours.

Is AI charged separately?

Puzzle includes the AI Suite in every plan but meters credits, with top-ups of 40/100/250 for USD 25/50/100; QuickBooks lists Intuit Intelligence by plan with no separate AI line item; Xero’s pricing page has no separate JAX line item, but the JAX page says future features may change and additional fees may apply. Put “available now” and “may be charged” into the contract appendix.

Are 100 credits enough?

Puzzle’s public help pages do not state how many credits each AI task consumes, so the allowance alone cannot answer this. Close one real month, record credits used by AI Close, bulk categorization and AI Chat, then price top-ups at USD 0.40–0.63/credit. If you need 250 more every month, Complete rises from USD 120 to 220/month (+83%), which must be budgeted up front.

How much does annual billing save?

Puzzle says annual is “12 months for the price of 10”: Starter USD 300/year (USD 360 monthly); Core/Complete/Scale calculate to 720/1,200/3,600 on the same rule, subject to checkout. QuickBooks and Xero US pricing pages show monthly prices only and no annual total; do not assume they offer the same annual discount.

How much does bookkeeping cost?

Puzzle Expert Reviewed is USD 171/month, including the Core plan and a monthly review, but only for monthly expenses ≤USD 10K, one entity, one accounting basis and no payroll/AR/AP/inventory; Full Service is quoted by entity and expenses. Xero/QuickBooks do not include bookkeeping; you hire an accountant or bookkeeping firm separately, and that is not in the subscription price.

Can promo prices be used as a budget?

No. QuickBooks is 50% off for three months; Xero’s pricing page says 80% off for three months while its JAX page says six months, so the two official pages disagree; promos usually have eligibility, region, first-purchase and renewal limits. Budget on regular monthly/annual prices and treat promos as cash-flow optimisation, not a TCO basis.

Research method and limitations

This article separates “official facts” from “editorial modelling”: plan prices, seats, AI allowances, top-up prices and bookkeeping/add-on prices come from the three vendors’ official pricing pages or help centres; the one/five/twenty-user scenarios are arithmetic on one set of assumptions, not a vendor quote.

Eight limitations: (1) only US public list prices are compared, without enterprise discounts, partner pricing, tax or payment fees; (2) QuickBooks/Xero list monthly prices only, so annual/contract pricing needs a quote; (3) Puzzle’s Core/Complete/Scale annual prices are calculated from “12 months for the price of 10”, with only Starter USD 300 explicit; (4) Puzzle’s public help pages do not give per-task credit consumption, so the AI top-up model is a sensitivity, not a forecast; (5) Xero’s JAX current features and roadmap are not fully separated, and the page carries a disclaimer; (6) payroll, sales tax, inventory and payment add-ons vary by region/entity/volume; (7) Puzzle’s auto-categorization rate appears differently on two official pages (85–90% on pricing, “up to 98%” in the FAQ), so this article does not treat it as a promise; (8) mainland China standards, fapiao, tax filing and local bookkeeping are excluded. Treat this as a unit-alignment template and replace the assumptions with a one-month real close POC.
